Background: I was initially hired to help a Lean Six Sigma Black Belt with several Black Belt-level projects in the Process Optimization & Automation Division in the Office of the Chief Financial Officer. I quickly realized that the project list I was to help complete was not tracked or monitored on any one source of information and people requesting help from this team were sending direct messages to one or two people's email instead of a centralized repository for all requests to be responded to by all team members.
The Opportunity: I established my own business opportunity to grow this team's business and maximize workflow! This process was ripe for improvement to address the operational gaps between customer requests and team response times, as well as allow for the tracking of project status and completion by an entire team instead of one individual. All of these concerns were my direct concerns as someone being asked to support the project workload.
The Goal: I established my own goals to: reduce customer response times to less than 30 days (initially), create visual management tools to monitor and effectively track project status and performance to reduce confusion and rework, and build-out a process to allow for more requests for process (re)engineering and optimization support, which could increase business volume.
The Result: I saw the vision and concept and delivered a process that not only achieved the goal, but even out-performed the goal and delivered 200+ ideas in less than 1 year (an increase of 900%) for this team to optimize and automate and increased throuput of our project pipeline by 60%!
The "Submit Your Idea" form and Google Site was born and is still being used today!
This embedded form on the site is meant to be simple and quick for users, with basic questions being asked of submitters so that anyone can fill it out.
Once ideas are submitted they flow over to a tracking sheet for the team to review and manage.
I also carried this idea forward in our next iteration to include developing code that notified customers of their completed submission and provided them a link to schedule an initial meeting with our team. This next iteration significantly reduced our customer wait times to less than 2 weeks per idea!
